A sample can help review shade, texture, package quality, component function, visual presentation, barcode placement, and suitability for the intended channel. List the questions before selecting products so the sample order stays focused.
For a multi-brand assortment, choose representative hero products and formats rather than requesting every available SKU. Add more samples only when a category or shade decision genuinely depends on them.
Identify the sample precisely
Record the brand, full product name, shade, model, size, version, package language, barcode, and sample source. Photograph the product and outer box when several versions are visually similar.
A retail sample bought from current stock may not represent a future OEM production run. For custom projects, define whether the item is a formula sample, color sample, package sample, printed proof, pre-production sample, or final production reference.
Review product and packaging separately
Check the product experience and the physical package as two related but separate decisions. A suitable formula can still be paired with an impractical pump, fragile compact, unclear label, or package that does not fit the target retail shelf.
If the destination market requires local labels or importer information, review the proposed placement before bulk printing or relabeling. Regulatory approval should come from the buyer's qualified local adviser where required.
Connect approval to the purchase order
Keep notes, photos, approved variants, and rejected variants in one sample record. The purchase order and quotation should reference the same specification so the supplier and warehouse can identify the approved item.
If stock or packaging changes after approval, request a new confirmation rather than treating a similar item as automatically acceptable.
